Job Description

Job Profile
– Coordinating dates, times and sending out documentation required for meetings / conferences / client functions called
by Head of HR and managing the office diary
– Recording of minutes of meetings held and ensuring follow up
– Assisting in the implementation of the HR initiatives undertaken by Head of HR
– Ensure that Management Report, Compliance Report, BSC/Board Papers, etc are submitted on time
-Preparation of Nations Voice minutes and arranging meetings
-Issuance of letters for visa purposes and for other staff requirements
– Handling all administrative work related to Corporate Management appointments and compensation
-Maintaining Personal Files &the chubb room
– Assist members of the HR department in carrying out daily activities
– Assist in Internal Customer Service initiatives, Employee Attitude Surveys and other relevant HR activities
-Monitoring Leave utilization & training attendance of HR staff

Prerequisites
– Minimum of five years secretarial working experience out of which at least 3 years working for a senior managerial staff
– Should posses a recognized secretarial qualification
– Ability to build and maintain good relationships with staff at all levels, clients, Directors, Regulators
– Ability to maintain confidentiality
– Good interpersonal skills
– Excellent verbal and written communication skills
– Computer literacy
– Excellent planning and organizing skills
